Halaex, operated by Halaex L.L.C-FZ (UAE Trade License No. 2648428.01), handles personal information in accordance with applicable UAE data protection requirements.
Never to unrelated advertisers.
Passports and bank details aren't shown on profiles.
Access, correct or delete your data.
01Data Collected
The exact information depends on whether you are a professional, employer, client, or visitor. For example, professional onboarding may involve a CV, experience, qualifications, identity and work-eligibility documents; business onboarding may involve company registration and authorized signatory details. Financial and payroll information is collected only when relevant to the services. Website use may also generate device, browser, security, and session records.
02Collection Sources
Most data is provided directly when users register, apply, upload documents, contact support, or enter into an engagement. We may also receive information from an employer or authorized client, verification provider, or government-related process where permitted. Technical records are generated when users access the website or sign in.
03Uses
We use relevant information to create accounts, verify eligibility, evaluate opportunities, coordinate recruitment, EOR, workforce and BPO services, manage freelance or consultancy engagements, prepare contracts, administer payroll and payments, and support business setup, licensing, corporate PRO, visa and government applications. This may involve company, shareholder, identification and application records shared with authorized authorities, banks and service providers where necessary and lawful. We also respond to inquiries, prevent fraud, meet regulatory obligations and improve platform reliability. Marketing communications are handled separately where consent or another lawful basis is required.
04Lawful Processing
Depending on the activity, processing may be necessary to take steps toward or perform a contract, comply with law, or rely on consent or another ground allowed under applicable law. Where we ask for consent, it should be specific and capable of being withdrawn as legally permitted. Withdrawing consent does not automatically stop processing required for an existing contract or legal obligation.
05Sharing
Relevant profile details may be shared with potential hiring clients, while payroll and verification records may be shared with authorized banks, insurers, service providers, or public authorities when needed. We limit disclosures to an appropriate purpose and require safeguards where relevant. Halaex does not sell users' personal information to unrelated advertisers. Separate service agreements may describe how client-supplied employee data is handled.
06Professional Profiles
To help match people with opportunities, we may make selected profile information such as experience, skills, qualifications, and availability visible to authorized recruiters or clients. Passport copies, bank details, medical documents, and similarly sensitive records should not be generally displayed. Sharing of additional documents is restricted to appropriate, lawful engagement or verification needs.
07Sensitive Data
Certain engagements may require identity documents, immigration records, bank information, or health and insurance-related documentation. Such records should be accessed only by personnel and authorized partners who need them for a legitimate purpose. We apply additional controls where appropriate and follow special requirements that apply to sensitive personal information.
08Security
Halaex applies reasonable administrative, technical, and organizational measures designed to reduce unauthorized access, disclosure, alteration, and loss. These may include role-based access, secure connections, controlled document access, and incident handling. No online service is risk-free. Users should protect their passwords and promptly report suspicious activity.
09Retention
Retention depends on the type of record and the purpose for which it is needed. Recruitment records may be retained for future opportunities where lawful; contractual, payroll, tax, and compliance records may need longer retention under law. When retention is no longer justified, data will be deleted, anonymized, or securely archived as appropriate. Closing an account does not override mandatory retention obligations.
10International Transfers
Clients, cloud providers, or other service partners may be located outside the UAE. Where information is transferred across borders, Halaex will assess applicable restrictions and use lawful transfer arrangements and appropriate safeguards. The locations and providers used in practice should be reflected in internal data-processing records.
11Cookies
Essential cookies help maintain sessions, authentication, and security. Other cookies may support preferences, analytics, or advertising measurement. Where consent is required for non-essential technologies, users should be given a meaningful choice and a way to change preferences. Browser settings may also allow cookies to be blocked, although some functions may then be limited.
12Marketing
We may contact users about relevant services and opportunities when legally permitted. Where required, we will seek opt-in consent before sending promotional messages. Each marketing channel should offer an appropriate way to opt out. Unsubscribing from promotions does not stop important account, contract, or security notices.
13Automated Matching
Matching or recommendation tools may use experience, skills, location, availability, and stated preferences to suggest opportunities or candidates. A recommendation does not guarantee hiring or selection. If automated processing has significant legal or similar effects, Halaex will provide applicable safeguards and rights required by law.
14Your Rights
Subject to applicable law and exceptions, you may request access to your information, correction of inaccurate details, deletion in qualifying circumstances, restrictions on certain processing, or other available rights. You may also withdraw consent when consent is the basis for processing and raise concerns with a relevant authority. We may verify identity before acting on a request.
15Children
The platform is designed for adults and is not intended for registration by persons under 18. If we discover that a child has registered or provided personal information without an appropriate lawful basis, we will take suitable steps to restrict the account and handle the data in accordance with law.
16External Links
External websites and payment or government portals may operate under their own privacy notices. Review those notices before sharing information directly with third parties.
17Incidents
If a suspected personal-data incident occurs, Halaex will assess the facts, contain the issue, and take reasonable remediation steps. We will notify authorities or affected individuals when required under applicable law. Users can report suspected exposure or unauthorized access through the official website contact channels.
18Policy Updates
We may update this notice when practices, services, or laws change. The current version and update date will be published, and material changes will be communicated when legally required.
19Contact
For privacy inquiries, access, correction, deletion, or other data-rights requests, use the official contact details published at www.halaex.com. Halaex may verify your identity before responding. Registered office and a dedicated privacy contact should be published once confirmed.
20Legal Rights and Agreement Priority
Nothing in this Privacy Policy excludes or limits any privacy right or data-protection obligation that cannot lawfully be waived under applicable UAE law. Where a separate service, employment, or data-processing agreement applies, it may specify additional responsibilities, but it does not override mandatory data-protection requirements.
21Acknowledgment
By continuing through onboarding, users acknowledge that this Privacy Policy has been made available. Consent for optional processing, such as marketing, should be obtained separately where required.
